Create a New Bid Project
Bid projects are used to define how items are put out to bid on a contract.
Create a New Bid Project
Select New Bid Project from the Bid Utility section of the Common Tasks window.
From the Select a Contract to create a new Bid Project: window, highlight the contract the bid project will be assigned to.
Use the filter or search options in the window to locate and select the contract.
Select the Create New button.
From the New Bid Project Options window, select an Item Grouping:
Group Items by Pay Item will group together items with the same Pay Item # and Supplemental Description. If a grouping has the same pay item for multiple categories or breakdowns IDs, those pay items will be totaled and displayed as a single line item per pay item.
Group Items by Project will group together items by project, in the case that a contract has multiple projects. If a grouping has the same pay item for multiple categories or breakdown IDs, those pay items will be totaled and displayed as a single line item per pay item per project.
Group Items by Category will group together items by category, such as road or bridge work, funding, or location. If a grouping has the same pay item for multiple categories or breakdown IDs, those pay items will be totaled and displayed as a single line item per pay item per category.
The Let Date is for informational purposes, and it can be presented in some analysis reports. The default let date is two weeks from the bid project creation date.
Select OK.
Add a New Bid
When preparing to start a new bid, see Electronic Bid Submission for instructions on exporting a blank bid sheet. Exporting a blank bid sheet allows contractors to fill in the required information. The bid sheet can then be imported back into MERL, resulting in much less work for the bid owner.
Select Add Bid from the Bid Project toolbar.
From the Select a Vendor: window, highlight a vendor and click the Select button to add it to the bid project.
This window contains all MDOT approved vendors and any user-defined vendors, and other vendors can be added by selecting Add, and entering the vendor characteristics. Only the Vendor ID and Vendor Name are required fields. To search for user defined vendors, check the box next to User Vendors Only at the top of the window.
In the Add Bid window, enter the bid prices.
Select the Save button and close the Add Bid window.
Edit a Bid
In the Bid Project window, highlight the desired bid.
The bid must be checked out to make edits (see Check In or Check Out a Bid Project).
Right click, and select Edit Bid…
In the Edit Bid window, edit the bid prices.
Select the Save button and close the Edit Bid window.
Delete a Bid
In the Bid Project window, highlight the desired bid.
The bid must be checked out to make edits (see Check In or Check Out a Bid Project).
Right click in the Bid Ranking grid and select Delete Bid.
Select Yes to confirm the action.
